How to Set Up Online Maintenance Payments in Your Housing Society

Still collecting maintenance by cash or cheque? Here is a practical guide to setting up UPI, NEFT, and online payment options for your society — and how to track every payment accurately without extra effort.

Why Online Payments Reduce Defaults

The biggest reason residents miss or delay maintenance payments is not the money — it is friction. They forgot, they did not have cash, they were travelling, or they could not find time to drop a cheque at the office. Online payment options eliminate almost all of these barriers. Residents can pay from their phone in 30 seconds, at any time, from anywhere.

Societies that offer UPI and bank transfer options typically see faster monthly collections and significantly fewer late payments compared to those accepting only cash or cheque.

Step 1: Ensure Your Society Has a Dedicated Bank Account

Your society should have a bank account opened in the society's name (not in the Treasurer's personal name). This account should require two authorised signatories for cheque-based withdrawals — typically the Secretary and the Treasurer. Most nationalised and private banks offer current accounts for co-operative societies and associations with straightforward documentation.

  • Required: Society registration certificate, PAN card of the society, managing committee resolution, identity proofs of authorised signatories
  • Preferred banks: SBI, HDFC, ICICI, Kotak — all have good digital banking infrastructure

Step 2: Set Up UPI Collection

UPI is the simplest and most widely used digital payment method in India. To accept UPI payments for maintenance:

  • Register the society bank account on Google Pay for Business, PhonePe Business, or Paytm Business
  • Generate a static QR code linked to the society account
  • Print the QR code on every maintenance bill and display it in the lobby
  • Residents scan and pay — the money lands directly in the society account

When setting up UPI, use the society's registered mobile number and bank account — not the Treasurer's personal UPI ID. This ensures continuity when committee members change.

Step 3: Share Bank Details for NEFT/IMPS

Print the society's bank account number, IFSC code, and account name on every maintenance bill. Many residents — especially senior members — prefer NEFT over UPI. Making the details easily available removes one more barrier to payment.

Step 4: The Critical Part — Tracking Incoming Payments

This is where most societies struggle. When 50 or 100 residents all transfer maintenance to the same bank account, identifying which payment came from which flat is a significant operational challenge. Common approaches:

Ask Residents to Use a Reference

Request residents to include their flat number in the payment remarks field when making NEFT or UPI transfers (e.g., "B-201 May Maintenance"). This makes matching faster, though not all residents remember to do this.

Dedicated Virtual Account Numbers (Advanced)

Some banks and payment aggregators can issue a unique virtual account number per flat — any payment to that number is automatically tagged to the correct flat. This is highly effective for larger societies but requires more setup.

Society Management Software

The most practical solution for most societies is software that shows all incoming transactions from the bank, allows the Treasurer to match each payment to a flat with a click, and automatically updates the member's ledger. This eliminates the manual matching work entirely.

Step 5: Issue Digital Receipts

Every payment received — whether UPI, NEFT, or cash — must be acknowledged with a receipt. For digital payments, a WhatsApp message or PDF receipt sent to the resident's registered number is sufficient. Maintain a receipt register (digital or physical) for audit purposes.

Handling Cash Payments Alongside Digital

Even after introducing online payment options, some residents will continue paying cash — elderly residents, tenants without smartphones, or those who simply prefer cash. Continue accepting cash but enforce a strict receipting process: issue a printed receipt immediately, record in the cashbook the same day, and deposit to the bank within 48 hours.
