The Role of a Housing Society Treasurer

The Treasurer is the custodian of a housing society's finances. Unlike a corporate CFO, an Indian society Treasurer is typically a resident volunteer — an elected member of the Managing Committee who takes on the responsibility of handling all financial matters alongside their regular job and life commitments.

The role is legally significant. Under the Maharashtra Co-operative Societies Act and similar state laws across India, the Treasurer (along with the Secretary) is personally responsible for maintaining accurate books of accounts and ensuring they are available for annual audit.   • Confirm salary disbursement for all society staff (security, housekeeping)
  • Process any approved vendor invoices due for payment

Mid-Month

  • Check bank account for all maintenance payments received
  • Match each incoming payment to the correct flat and billing period
  • Send second reminder to residents who have not yet paid
  • Record all cash receipts in the cashbook with date and flat number

End of Month

  • Complete bank reconciliation — bank statement vs. society ledger
  • List all flats with pending dues and calculate outstanding amounts
  • Prepare monthly income and expenditure summary for Managing Committee
  • File all invoices, receipts, and payment proofs for the month
  • Check FD renewal dates and interest creditcd for the month
  • Update sinking fund register with any contributions or withdrawals

Quarterly

  • Review actual expenses vs. annual budget — flag any significant variances
  • Prepare defaulter list with interest calculations for Managing Committee review
  • Confirm GST compliance if your society crosses the ₹7,500/month per flat threshold
  • Review vendor contracts due for renewal (lift AMC, pest control, etc.)

Annual

  • Prepare income and expenditure account for the financial year
  • Prepare balance sheet as of 31st March
  • Compile all supporting documents for the auditor
  • Co-ordinate audit completion before the AGM deadline
  • Present audited accounts at the Annual General Body Meeting
  • Prepare next year's maintenance budget for member approval
